Terms and Conditions for 43 Lancaster Gate Venue Hire
These terms and conditions ("Agreement") govern the use of the room hire services ("Services") provided by The Family Federation for World Peace and Unification UK (FFWPU-UK) ("Company") to you ("Customer"). By using our Services, you agree to be bound by the terms and conditions set forth below.
1. Bookings and Payment
1.1 Bookings can only be requested via email (43LGbookings@ffwpu.org.uk) or the online booking form.
1.2 The total hire charge must be paid at the time of booking to secure the reservation. Any additional charges incurred, such as catering or equipment rental fees, must be paid together with the hire charge.
1.3 Payments can be made via PayPal or bank transfer.
1.4 The Company reserves the right to cancel a booking at any time for any reason. In such cases, any amount paid will be refunded in full unless the cancellation is a result of the Customer breaching the terms and conditions.
1.5 The Company reserves the right to refuse a booking for any reason.
1.6 The minimum hire period is 2 hours for all bookings.
2. Changing the booking
2.1 If the Customer needs to change the date and/or time of their booking, they must notify the Company in writing via email (43LGbookings@ffwpu.org.uk) more than 60 days prior to the scheduled start time.
2.2 Bookings cannot be changed less than 60 days prior to the scheduled start time of the booking. However, they can be cancelled.
3. Cancellation
3.1 If the Customer needs to cancel their booking, they must notify the Company in writing via email (43LGbookings@ffwpu.org.uk).
3.2 If the booking is cancelled more than 60 days prior to the scheduled start time of the booking, there will be a full refund.
3.3 If the booking is cancelled between 60 and 30 days prior to the scheduled start time of the booking, there will be a 50% refund.
3.4 If the booking is cancelled less than 30 days prior to the scheduled start time of the booking, there will be no refund.
3.5 In the event that the Customer fails to cancel their reservation and does not show up for the booking, there will be no refund.
3.6 We understand that unforeseen circumstances can arise, and we will do our best to be flexible and accommodating wherever possible. However, our cancellation policy is designed to ensure that we can provide reliable and timely service to all our clients. 4. Use of the Room
4.1 The Customer is responsible for leaving the room in the same condition it was in at the start of the booking. Any damage caused to the room or its contents will be the responsibility of the Customer and may result in additional charges. Any excessive cleaning required may result in additional charges.
4.2 Driving nails, tacks or any item into the fabric, wall, furniture or the floor of the premises is prohibited.
4.3 Use of blue tack, tape or any sticky material on the fabric, walls or windows of the premises is prohibited.
4.4 The Customer is responsible for ensuring that all guests attending the booking comply with these terms and conditions, as well as any relevant laws and regulations.
4.5 The Customer agrees to use the room only for the purpose for which it was hired. Any changes to the agreed upon use of the room must be approved in advance by the Company in writing.
4.6 Any use of the room for illegal or inappropriate activities is strictly prohibited and may result in termination of the booking without refund.
4.7 The Customer must not exceed the maximum capacity of the room, which will be specified by the Company.
4.8 The Customer is responsible for ensuring that any equipment, furniture or fixtures in the room are not damaged or altered in any way during the course of the booking.
4.9 The Customer must maintain acceptable noise levels by guests and activities both inside the room and the premises.
5. Health and Safety
5.1 The Customer is responsible for ensuring that all activities carried out in the room are conducted in a safe manner, and in accordance with all applicable laws and regulations.
5.2 Smoking, alcohol, and illegal drugs are strictly prohibited on the property.
6. Equipment and Furniture
6.1 Equipment and furniture provided by the Company may be used by the Customer but it must be returned in the same condition it was received.
6.2 The Customer is responsible for any loss or damage to equipment or furniture provided by the Company.
7. Liability
7.1 The Company shall not be liable for any loss, damage, or injury sustained by the Customer or their guests while using the Services, except in the case of gross negligence or wilful misconduct by the Company.
7.2 The Customer agrees to indemnify and hold harmless the Company, its directors, officers, employees, and agents from and against any and all claims, damages, losses, or expenses arising out of or in connection with the Customer's use of the Services.
7.3 The Company shall not be held liable for any delay, cancellation, or failure to provide the room as a result of circumstances beyond its control, such as acts of God, natural disasters, or other unforeseeable events.
8. Termination
8.1 The Company reserves the right to terminate the hire agreement at any time without refund and require the Customer to vacate the room if the Customer breaches these terms and conditions.
9. Subletting
9.1 The Customer may not sublet the room or any part of the room to any third party without our prior written consent.
9.2 Any subletting without the Company’s consent will result in the immediate termination of the hire agreement, and any payment made by the Customer will not be refunded.
9.3 If the Customer obtains the Company’s consent to sublet the room, they remain fully responsible for ensuring that the sub-lessee complies with these terms and conditions, and the Customer shall remain fully liable for any loss or damage caused by the sub-lessee.
10. Photography
10.1 No photographer or cinematograph film may be taken in the premises for commercial purposes or press reproduction without the written consent of the Company.
11. General Provisions
11.1 This Agreement constitutes the entire agreement between the Customer and the Company and supersedes all prior understandings or agreements, whether written or oral.
11.2 This Agreement shall be governed by and construed in accordance with the laws of the jurisdiction in which the room is located.
11.3 Any disputes arising out of or in connection with this Agreement shall be resolved by arbitration in accordance with the rules of the exclusive jurisdiction of the courts of that jurisdiction.
11.4 This Agreement may not be assigned by the Customer without the prior written consent of the Company.
11.5 The Company reserves the right to amend these terms and conditions at any time.
